I started as a Medicare agent doing what most agents were doing at the time. I had a notepad that I kept for all of my client notes and I had tons of banker boxes full of paper applications. The problem was that as I got more and more clients I couldn’t remember the clients information even their plan. This made me go through boxes upon boxes of applications to try to find their application. There had to be a better way.
I thought to create a secured excel spreadsheet that I would put all of my clients details that I might need. Creating the Excel list helped me implement annual AEP letters and birthday cards which took me nearly a week for the AEP letters and about 1 to 2 days for the birthday cards per month. I also started to gather client’s emails and started creating email newsletters to keep up with my clients which took me at least 1 week per month. I think I spent more time than most creating those.
The referrals from those efforts were I would say modest because I admit there were times that I didn’t get a couple months of birthday cards or email newsletters out. About this time, I spoke with a person I knew from school who said “Why don’t you try to automate some of these things? It will probably save you a ton of time and make you more referrals.”
This started the journey to finding a way to automate the process at the least cost. I now get HUNDREDS of referrals per year, I have a retention rate of 94%, and I get to spend most of my day with my kids while working about 3 hours a day.
